Taking inventory

Please note: only users with the "Edit Inventory" permission can take inventory.

Before taking inventory, you must first setup an inventory guide. We also recommend reading the Inventory overview article.

Your count sheet will display all of the sections you've added onto your guide.

Clicking into a section will display all of the items which you can take inventory on.

Opsi also offers the ability to add in individual products, ingredients and recipes on the fly if necessary.

By default the count unit is the one specified on the guide, but this can be modified while taking counts as well. Additional options to filter only specific items into view, or show items that need review are available.

The price shown for each item is representative of the last-in price of the product. For an ingredient, this is the price of whichever product was most recently ordered that is associated to the ingredient (unless a preferred product is chosen in the edit ingredient module). For a recipe, the price is pulled from the current cost of recipe.

It's important to fix the items that may need review, which are indicated by the following red icons:

Ingredient/product missing mapping

Item should be mapped either to an ingredient or product for consistency in your reporting. Click/tap on this icon to quickly map.

Product missing a price

Without pricing on a product you will not be able to take counts on that item. Click/tap on the product name to see its details, then click "Edit" to add a price.

Product missing a category

Without associating your product to a category, the counts and values will not properly roll up into your GLs for reporting and exports. Click/tap on this icon to quickly map a category.

Note: while taking inventory the sheet will auto-save every minute. If you happen to go offline, the sheet will save once you are back online with your latest updates.

To take inventory:

Desktop steps

1. Ensure you are on the "Products" page.

3. Click "Take Inventory".

4. Choose a guide, then select a date for the inventory.

5. Click into each Section to take count on its items.

6. Begin taking your counts.

7. Repeat steps 5-6 until completed. When you are done you can either choose "Save & Exit" to leave this count sheet in draft mode, or "Save & Mark Complete" to close out this inventory sheet.

Mobile steps

1. Ensure you are on the "Products" tab.

9. Repeat steps 7-8 until completed. Be sure to tap "Save" at the top once you are done.
