Creating an inventory guide

Please note: only users with the "Edit Inventory" permission can create and manage inventory guides.

Before creating a guide, we recommend reading the Inventory overview article.

Inventory guides are essential templates for running inventory counts.

When setting up a guide, you can create "Sections" to organize items based on how you conduct your inventory - such as grouping items by storage area. Additionally, while managing sections, you have options to filter items or display only those that require review.

You can choose a default count unit for each inventory item using only the units defined on the item, or the yield units defined on the recipe. For more details on setting inventory units, please refer to the guide here.

Additionally, you can rearrange inventory items in any order for easy shelf-to-sheet counting. If you need to move items from one section to another, please see this article for instructions.

When creating or reviewing your guide, be sure to address inventory items flagged for review. These items are marked with red icons:

Item/Vendor Item missing mapping

Ensure items are mapped to vendor items before taking inventory counts. Tap this icon to quickly complete the mapping.

Item missing pricing information

Without pricing details, you can't take inventory counts. Tap the item name to view its purchasing info. If no vendor items are mapped, you'll need to add them.

Vendor Item missing a category association

Ensure your vendor item is linked to a category. Without this, counts and values won't roll up properly in reports and exports. Tap this icon to quickly map a category.

To create an inventory guide:

Desktop steps

1. Click to the "Inventory" page.


2. Click "View" and select "Guides".


3. Click the green "+" at the top right.


4. Select "New Guide".


5. Give your guide a name and description (if applicable).


6. Click "Add Section" to begin adding new sections.


7. Added sections will appear below the Guide description.


8. You can click into these sections to begin adding items using the green "+" button at the top right.


9. After you are done creating your guide, ensure you click "Save Guide" at the bottom right. If you don't see this button, you may be viewing a section - click the "Go back" button first.

Mobile steps

1. Tap to the Inventory view.


2. Tap "Manage".


3. Tap "Inventory Guides".


4. Tap "Create" at the top.


5. Give the guide a name and description (if applicable).


6. Tap "Add" to begin adding new sections.


7. Added sections will appear below the Guide description.


8. You can tap into these sections to begin adding items using the green "+" button at the top right.


9. After you are done creating your guide, ensure you tap "Save" at the top. If you don't see this button, you may be viewing a section - tap the back button first.
