Creating an inventory guide

Please note: only users with the "Edit inventory" permission can create and manage inventory guides.

Before creating a guide, we recommend reading the Inventory overview article.

Inventory guides are required to take inventory, and enable you to create a template of your count sheets.

When creating a guide, opsi offers the ability to add "Sections" of items. Sections should be named, and ordered, according to how you take inventory. For example, if you take inventory based on storage areas, then each storage area should be its own section.

While creating or managing sections of a guide, additional options to filter only certain items in view, or display the items that need review are available.

Additionally, you can set which default count units you would like to use for each item. Only the units that have been defined on the product level (when taking inventory of products or ingredients) or the units defined on the recipe yield (when taking inventory on recipes) can be chosen.

You can also re-arrange items in any order for shelf to sheet counting! If you’d like to move items from one section to another, please refer to the article here.

While creating your guide it's important to fix the items that need review, which are indicated by the following red icons:

Ingredient/product missing mapping

Item should be mapped either to an ingredient or product for consistency in your reporting. Click/tap on this icon to quickly map.

Product missing a price

Without pricing on a product you will not be able to take counts on that item. Click/tap on the product name to see its details, then click "Edit" to add a price.

Product missing a category

Without associating your product to a category, the counts and values will not properly roll up into your GLs for reporting and exports. Click/tap on this icon to quickly map a category.

To create an inventory guide:

Desktop steps

1. Ensure you are on the "Products" page.

2. Click "Inventory".

3. Click "Manage Inventory Guides".

4. Click "Create Guide".

5. Give your guide a name and description.

6. Click "Add Section" to begin adding new sections.

7. Added sections will appear below the Guide description.

8. You can click into these sections to begin adding items using the green "+" button at the top right.

9. After you are done creating your guide, ensure you click "Save Guide" at the bottom right. If you don't see this button, you may be viewing a section - click the "Go back" button first.

Mobile steps

1. Ensure you are on the "Products" tab.

11. After you are done creating your guide, ensure you click "Save" at the top. If you don't see this button, you may be viewing a section - tap the back button first.
