Task response types and conditions

Please note: these features are only available on accounts with plans that contain response types and conditions (advanced tasks).

Task Response Types: These settings determine how users respond to tasks. Based on the type of response selected for a task, users must provide input in a specific format:

  • Text: Allows the user to input a free-form text response.

  • Numeric: Requires the user to enter a numeric value.

  • Yes/No: Provides a binary choice, where the user selects either "Yes" or "No."

  • Select: Allows the user to choose a single option from a predefined list.

  • Multi-select: Enables the user to select multiple options from a predefined list.

  • User Select: The user can choose one specific user from a list of users.

  • User Multi-select: The user can select multiple users from a list of available users.

  • Date: The user inputs a specific date.

  • Time: The user inputs a specific time.

  • Date & Time: The user enters both a date and a time, providing a complete timestamp.

By defining the response type, you ensure that tasks are completed with the correct type of input based on your needs.

Conditions: Conditions allow you to set up specific triggers and actions within tasks based on user responses. You can define various conditions that determine what happens next in a task sequence, ensuring that the workflow adapts to the responses users provide. When a user submits a response that matches a set condition, the assigned action is triggered automatically.

  • Request Response: When this condition is triggered, it will prompt the user to provide a response type of your choosing. This is useful for ensuring a required input or confirmation from a user before proceeding to the next task or step in the workflow.

  • Mark as Issue: When this condition is met, the system will flag the task as an issue. This is typically used to identify recurring problems or deviations from expected outcomes, allowing for further investigation in your Insights page.

  • Assign To: This trigger allows the task to be reassigned to a specific individual or team. It is useful for delegating tasks or escalating issues to the appropriate person based on user responses or other conditions.

By using conditions, tasks become more dynamic, responsive, and tailored to different scenarios, improving efficiency and ensuring that workflows progress as expected.
