Please note: only users with the "Edit Vendors" permission can manage vendor categories.

Vendor items can be associated to categories (chart of accounts) for organization and reporting. Ideally these are the same categories you use for accounting.

When creating a category you are presented with the following fields:

Category Name

The name of your category.

GL Code (not required)

The GL code of the category that matches your accounting system.

Category Group

Category Groups represent the broader classification under which your category falls. For instance, a "Meat" category would be grouped under "Food." These groups are essential for top level reporting and analytics.

If you do not assign vendor items to categories, they will default into "Uncategorized".

If you are using an integration with an invoice processing service like Ottimate, the Categories and GL Codes will automatically be imported into opsi. You cannot manage these categories from opsi as they are synced between the integration. You can and should, however, associate the proper Category Group to each one.

To create vendor categories manually:

Desktop steps

1. First, ensure you are on the "Items" tab.


2. Click "View" in the sub-navigation and switch to the "Categories" view.


3. On the Categories view, click the green "+" icon.


4. Click "New Category".


5. Fill in the details of the category. Category Name and Category Group are required fields. If necessary, you can create and manage category groups by clicking "Manage category groups". Once done, click "Save" at the bottom.


6. Your category is now created and appears on the Categories view.

Mobile steps

1. First, ensure you are on the "Items" tab.


2. Tap the down arrow next to "Items".


3. Tap "Categories".


4. On the Categories view, tap the context menu (three dots) in the top right and select "New Category".


5. Fill in the details of the category. Category Name and Category Group are required fields. If necessary, you can create and manage category groups by tapping "Manage category groups". Once done, tap "Save" at the top.


6. Your category is now created and appears on the Categories view.
