Creating task lists
To create a Task List, navigate to the "Task Lists" tab and click/tap the green edit icon at the top right. This will bring you into the edit Task Lists mode. This mode allows you to make all edits and updates at once.
There are two options when creating a list, either a Prep List or a Check List. Prep Lists are for food specific tasks, while Check Lists are meant for routine tasks outside of food prep. More details around this are discussed here.
Before creating a list, please note the various fields associated to tasks and Prep List categories:
- Name: the name of the item
- Due date & time: when the item is due - default value is set as due daily
- Proof of completion: (paid feature that makes a task assignee attach a photo or video for proof of completion)
- Description: description about the item
- Photos & videos: media attached to the item
- *Link to recipe: ability to link a specific recipe to this task or category (specific to Prep Lists)
- *Unit of measurement: indication as to how the item is measured
- *Par: the par count for the item
- *Sales mix %: the sales mix percentage for that item
*Specific only to Prep Lists
Quick tip: After setting a par count on Prep List tasks this will carry through indefinitely until changed. Then, to set a Prep List task due, you simply need to enter an Inventory (Inv) amount on the task and the Prep field will autofill based on the Par defined.
Create a Prep List
- Click/tap the "Add Prep List" button.
- Click into the Prep List title to enter a title for this list and click "Done".
- Next, click "Add new category" below the newly created Prep List row. Click into the category title field to prompt the editable parameters for the category. Click "Done" once completed.
- Then, click "Add new task" below the newly created category row. Click into the task title field to prompt the editable parameters for the task. Click "Done" once completed.
- Repeat these steps as necessary to fill out your prep list.
- Once completed, be sure to "Save" all of your updates.
Create a Check List
- Click/tap the "Add Check List" button.
- Click into the Check List title to enter a title for this list and click "Done".
- Next, click "Add new task" below the newly created Check List. Click into the task title field to prompt the editable parameters for the task. Click "Done" once completed.
- If applicable, click "Add new sub task" below the newly created task. Click into the subtask title field to prompt the editable parameters for the task. Click "Done" once completed.
- Repeat these steps as necessary to fill out your Check List.
- Once completed, be sure to "Save" all of your updates.
You are able to re-arrange the order of lists, categories and tasks by clicking and dragging the 3 vertical dotted icon on the left side of each item.
Note: Task lists can only be created and edited by users with the Manage Task Lists access.
